Registrar’s Office Student Connect Project

This January marks a pivotal time for the University of Alberta Office of the Registrar as it represents the year in which the new Student Connect service model will be implemented. At OLE, we are involved in helping the Registrar’s Office define and develop a curriculum to support the new Student Connect Office and the whole team in the RO in ensuring that the student experience at the U of A is second to none!

One of the first steps we have taken is in the area of defining training needs to support an updated training curriculum. The tool we are using is called a DACUM, which stands for Developing A Curriculum.


DACUM is a model used for competency based training development. It is also sometimes referred to as a Job Task Analysis. It is comprised of 3 main components: competency analysis, competency-based program development, and competency-based program administration.

The competency analysis is the first and most critical stage, it was also the stage that was recently completed with the RO earlier this January. The result is most often a single-page matrix documenting the required competencies of an occupation or work function. The analysis involves a two day workshop with ‘expert practitioners’ of the occupation or function within a certain context and scope.


In this case, our experts were members of the Registrar’s Office from Admissions, Records, Registration and Fees. Based on the great success and fantastic outputs of the analysis stage, we are now moving forward with the program development stage.

One wrap-up activity we almost always perform as OLE facilitators is to encourage participants to share their ‘A-Ha!’ moments or key learning(s) from the process. Some comments that emerged from the RO staff, were:
  • I feel pride in the work we do
  • This process highlighted what sometimes gets overlooked
  • Our job is very complex
  • I can now see the true depth of personal skills required to do our job
  • I Learned more about other RO units doing similar work
  • This DACUM is a positive step, re-enforcing the importance of our work
At OLE, these types of results are exactly the kind of outputs we hope to see our groups acquire; results that belong to the participants themselves and can be shared with colleagues, managers, supervisors, and leaders within their own organization. It is their success that we are concerned about, and all a part of our commitment to providing extraordinary experiences!
